HCI Support Specialist

Now in its 26th year, the Northfield Healthy Community Initiative (HCI) is a community-based organization whose mission is to cultivate a collaborative community that supports, values and empowers youth. HCI works with community partners to identify needs/opportunities, foster collaboration and support community-driven efforts that benefit local youth and families. By offering its assistance, HCI strives to build the capacity of the community to more effectively serve its young people.

HCI seeks an individual to provide support to its Administrative Director and the Director of Reporting and Analytics.

Tasks 

  • Administrative support services
    • Provide administrative support to coordinators and directors as requested
    • Provide staff support for HCI events and meetings, including pre-planning, set-up and take-down
    • Prepare and mail bulk mailings
    • Create monthly expense reports for select projects and vendors
    • Acquire, distribute and store supplies
    • Audit office supply vendors according to HCI policy
    • Support the maintenance and repair of office equipment
  • NHS & NMS School Directories
    • Solicit ads from area businesses and organizations, create and send invoices, track and collect payment
    • Coordinate with the district office and HCI’s graphic designer to create layout, order printing, and deliver directories in time for parent-teacher conferences at the schools
  • Data tracking and support
    • Complete data entry into CitySpan system under the guidance of the Director of Reporting and Analytics
    • Check source data to verify completeness and accuracy
    • Create and run reports for HCI-supported programs in Faribault and Northfield
    • Assist with the administration of evaluations to appropriate students/grade levels associated with HCI-supported programs, including Greenvale Park Community School, Northfield Middle School Youth Center, Summer PLUS, Summer BLAST, Jefferson Community School, Faribault Middle School Community School, and others

Required qualities 

  • Minimum 2 years related experience
  • Proficient in Microsoft Office (PowerPoint, Word, and Excel) and Google Suite
  • Basic knowledge of Adobe
  • Highly organized with superior attention to detail
  • Ability to multi-task and manage complicated workflow
  • Excellent ability to solve problems and troubleshoot issues
  • Excellent verbal and written communication skills
  • Ability to work with minimal supervision and as a member of a team
  • Capable of completing work on time in a fast-paced environment while maintaining a positive attitude
  • Willingness to maintain the standards, carry out the purpose, and adhere to the policies of the Northfield Healthy Community Initiative
  • Ability to work in both Northfield and Faribault, based on program needs
  • Maintenance of a cell phone is an expectation of employment

Preferred qualities 

  • Familiarity with HCI and its programs
